Prepare quotes and work with Xero through OpenClaw

Use OpenClaw to turn job details into quote drafts and connect Xero for invoices, payment records, contacts, and reports you can review.

A quote starts with the facts of a job: scope, quantities, rates, exclusions, and who the customer is. OpenClaw can help turn those inputs into a consistent draft and identify the information that is still missing.

The managed Xero integration extends that workflow into the accounting system you authorize. It can work with invoices, payments, contacts, attachments, and reports. You keep the decisions about prices, accounting treatment, and what is ready to send.

Give it your pricing and scope

Supply a current price list or approved estimate, the job description, and an example of the document you want. Tell the worker to separate supplied facts from missing information. A polished quote with invented measurements is still a bad quote.

Ask to review quantities, rates, customer details, and exclusions before the document goes out. A repeatable template is useful because you can compare the same fields on every draft.

Authorize the Xero organisation you want it to use

In your 8Examples account, the worker’s menu includes Connect Xero. The connection takes you through Xero’s own sign-in and organisation approval. Follow the handover instructions shown when you return to your account.

The integration is included with the managed offer; it connects to your Xero account. That does not mean a Xero subscription or your business’s existing accounting records are automatically supplied with a new worker.

Keep records and review together

Once connected and instructed, the worker can help prepare invoices, record payments, attach source documents, and retrieve reports such as aged receivables or profit and loss. Begin with a report or draft whose source records you can inspect.

For a receivables check, ask for invoice references, due dates, amounts, and draft reminders. If a payment cannot be matched confidently, make it a question for the person responsible for the books. The worker’s summary supports that review; it does not make an unexplained difference disappear.

“Read our outstanding invoices in the connected Xero organisation. List invoice number, customer, due date, and amount. Separate overdue items from invoices not yet due. Draft a reminder for each overdue item, but do not send reminders or change records until I approve.”

What to look for in the result

  • A list traceable to the Xero records.
  • Draft reminders using the correct invoice details.
  • Unclear items held for review instead of silently changed.

Try it with your business: Compare one generated report with the same view in Xero. Authorize changes to records only after you are comfortable checking the results.
